What should I document when gym equipment arrives?
Record the delivered package count, labels and visible condition, then reconcile the contents against the exact order and packing list. Report discrepancies through the seller or carrier process using factual photos and preserve packaging as instructed.
Prepare an order-level checklist
Before delivery, list the order number, seller, expected items and any package or pallet count the shipping documents provide. Distinguish separately shipped accessories from parts expected inside the main carton. A large order can arrive in stages, so the absence of one box does not automatically mean the shipment is complete and short.
Save the applicable delivery and damage-reporting instructions from the actual seller. Timing and process can differ between parcel and freight orders, and a manufacturer’s direct-sale policy may not govern a purchase from another retailer. Keep contact information accessible so you can ask a specific question when the delivery details do not match.
Photograph labels and condition without assumptions
Take clear overall photos of the delivered packages and close views of any visible crushed, torn or wet areas. Capture labels sufficiently to associate a package with the shipment, while keeping personal address details out of public posts. Describe what is visible rather than guessing how or when damage occurred.
If the delivery process requires a receipt or condition notation, follow the seller and carrier instructions and record accurately what you could inspect. Do not make a blanket statement that concealed contents are undamaged when you have not opened them. Ask the relevant provider how to proceed if the requested acknowledgement is unclear.
Reconcile boxes before opening everything
Match each carton or pallet label to the shipping record and assign a simple identifier to your photos. Keep multi-box equipment grouped so small hardware packs are not accidentally moved into another product’s pile. Record which package contains the packing list, if one is included.
REP’s freight FAQ distinguishes curbside delivery from unpacking and assembly responsibilities. That is a useful example of why arrival and assembly are separate stages. Use the terms of your own order and provider; do not assume that a driver will open, count or install components unless your service explicitly includes it.
Setup & shopping list
Choose equipment, add your budget and download your list.
Inventory contents using the exact list
Open packaging carefully in a suitable area and compare parts with the provided inventory and manual. Record the item name or diagram number, expected quantity and received quantity. Check protective packing before declaring small hardware missing, and retain packaging until the applicable instructions or support process allow disposal.
If a part is visibly damaged, do not assemble it to see whether it still works. Photograph the condition and identifying label, then ask the seller or manufacturer for the next step. Keep observations factual: a bent tab, an absent fastener or a cracked cover is clearer than a general claim that the whole machine is defective.
Send one organized discrepancy record
Prepare a concise message containing the order identifier, affected model, package identifier, missing or damaged part numbers and relevant photos. Explain whether assembly has started and whether the issue prevents following the manual. Keep a copy of the case number and the requested next action.
Update your equipment record when replacement components arrive and reconcile them against the same list. Do not dispose of the disputed part or return anything until you understand the provider’s instructions. A complete factual record makes it easier to resolve the issue and avoids repeating an unboxing story across several messages without the details support actually needs.
More questions, answered.
Should I throw away cartons immediately?
Retain them until the contents are verified and the seller or support instructions permit disposal, especially when damage or missing parts are unresolved.
Who handles a delivery problem?
Use the process for the actual seller and shipment. Manufacturer, retailer and carrier responsibilities can differ by order and service.
